| What is the total number of people will you be bringing to our Center at any point during your stay? Please note that we are unable to reduce rates for partial stays. Group members include the group leader, retreat leaders/facilitators, clergy, and guests. |

| Please note that the typical arrival time for overnight retreats is between 4-5:30pm (Dinner is served at 5:30 in the Main House and at 6pm in the House of Hope). Any arrival earlier than that time is subject to availability and is considered extended time, which carries an additional fee of $5/hr per person. A group leader must arrive prior to 7:30pm, and the receiving and orientation of any group members who arrive after 7:30pm is the responsibility of the group leader. |
| Please note that the typical departure time for overnight retreats is by 1pm (11am on Sundays). The typical departure time for day retreats is by 3pm for groups. Any departure later than that time is subject to availability and is considered extended time, which carries an additional fee of $5/hr per person. |

| In order to reserve all the spaces of the house for your group, you will need to meet a minimum number of participants (see our booking guidelines for more details) |

| Registration and a nonrefundable 25% deposit are required to reserve the dates for your group's retreat. When you register, please indicate the number of retreatants who will use individual rooms and the number of retreatants who will use shared rooms (this distinction between individual and shared does not apply to school and university groups). We will only be able to hold the number of rooms you request. If you find that you will require additional rooms, please contact us immediately for availability. To reserve the entire house, including all bedrooms and meeting spaces, the following requirements must be met:
- Main House: payment for 29 participants staying in individual rooms, 34 participants staying in shared rooms, or an equivalent combination of participants using individual and shared rooms (a deposit based on this number will reserve your dates, but your total payment must meet this requirement, even if you have fewer participants)
- House of Hope: payment for 8 participants staying in individual rooms or 8 participants staying in shared rooms and 1 individual, or an equivalent combination of participants using individual and shared rooms
- NOTE (applies to both houses): A deposit based on this number will reserve your dates, but your final payment must meet this requirement, even if you have fewer participants. In addition, if you want to reserve both houses, a deposit must be made for each house.
Your deposit will be calculated based on the number you give at the time of your registration, in addition to any additional meals, extended time, or retreat facilitation. Each night's stay includes 3 meals (dinner through lunch on the following day), and a full weekend stay includes dinner on Friday, all meals on Saturday, and breakfast on Sunday. Any additional meals are subject to availability and carry an extra charge. Please note that arrival is after 4pm and departure is before 3pm, except for weekends, when departure is before 11am. Anything beyond these times carries a charge of $5/hr per person and is subject to availability.
We request that you submit your final count, along with your schedule and dietary accommodation requests two weeks prior to arrival. Payment in full is due 1 week prior to arrival. Groups paying by credit card must include the 3% service fee in their payment. Any cancellations within 2 weeks of your retreat are not subject to a refund. Please understand that this policy is in place because we are unable to sustain our mission without being able to count on your confirmed reservation. |
| We regret that we are unable to create special menus for individuals and groups. In order to support our sustainability efforts, we ask for two weeks’ notice for any of the following accommodations:
- Dietary lifestyles: gluten free, vegans, vegetarians, and pescatarians
- Severe food allergies, including gluten (we are not be able to accommodate these)
We are not a peanut/nut-free facility. Upon notification 2 weeks prior to your stay, we can avoid cooking menu items that contain nuts. However, many of our breads and other commercial foods we purchase may contain or may come into contact with common allergens, including wheat, peanuts, soy, tree nuts, milk, eggs, fish and shellfish. In addition, the manufacturers of the foods we purchase could change their formulations at any time without notice. Please also note the foods we prepare without gluten ingredients are not certified gluten free. Most of our baked goods and breakfast items contain eggs, dairy and wheat, unless specifically marked otherwise.
We are unable to accommodate food preferences while maintaining our commitment to sustainability and care for the environment. We are also unable to accommodate severe food allergies. There is refrigerator space available to accommodate all severe allergies and food preferences not listed above.
Please be sure to inform the Center of any dietary needs (type and number) 2 weeks prior to your retreat. If we are not notified of dietary accommodations 2 weeks before your group’s arrival, we cannot guarantee that we will be able to accommodate them. |
| As part of the consideration for the use of the facilities of St. Raphaela Center at 616 Coopertown Rd, Haverford, PA 19041, and intending hereby to be legally bound, the undersigned organization and/or individuals (as indicated), hereby agree to indemnify, defend, and hold harmless St. Raphaela Center and the Handmaids of the Sacred Heart of Jesus and all of their members, officers, directors, employees, volunteers and agents from and against all claims, suits, actions, demands, charges, obligations, costs and expenses, or financial responsibility, including attorney’s fees and costs of suit, to which it or they may ever be threatened, exposed or found liable arising from or out of the use of the said facilities, or arising out of incident, accident, or injury occurring while the individual or group is utilizing St. Raphaela Center, including but not limited to actions regarding our health and safety guidelines in relation to COVID-19, or any of the acts or omissions of the undersigned or their agents, employees or members. This obligation of undersigned to hold harmless, defend and indemnify shall begin immediately upon notice of a claim and shall not require any actual loss to be suffered by the parties indemnified. |
